We are looking for a competent receptionist to join our team and be the first point of contact for our clients, visitors, and callers. The ideal candidate should have excellent communication skills, a friendly demeanour, and the ability to handle various administrative tasks efficiently.

 

Purpose of the role:

The purpose of the receptionist role is to serve as the frontline representative of the organisation, providing exceptional customer service and administrative support. By greeting visitors warmly, answering calls promptly, and handling enquiries efficiently, the receptionist ensures that clients, visitors, and callers have a positive first impression and experience of the company. Additionally, the receptionist plays a vital role in maintaining the smooth operation of the office by assisting with various administrative tasks, scheduling appointments and directing enquiries to the appropriate department or individual. Overall, the receptionist serves as the face and voice of the organisation, contributing to its professionalism and reputation.

 

Key Accountabilities & Responsibilities:

  • Greet and welcome visitors with professionalism and enthusiasm.
  • Answer, screen, and forward incoming calls promptly.
  • Provide accurate information in person, via phone, or email.
  • Maintain a clean and organised reception area.
  • Assist with administrative tasks such as filing, scanning, and data entry.
  • Support the HR team with various administrative and compliance tasks.
  • Schedule meetings and appointments and manage calendars as needed.
  • Coordinate office events, meetings, and appointments, including room bookings and catering arrangements.
  • Support the Board of Directors with administrative tasks.
  • Handle enquiries and resolve issues promptly.
  • Keep records of visitor logs, calls, and messages.
  • Sort and distribute incoming mail and packages, as well as prepare outgoing mail for pickup or delivery.
  • Visitor Management: Issue visitor badges, log visitor information, and ensure security procedures are followed.
  • Supply Management: Monitor and replenish office supplies, such as stationery, refreshments, and cleaning supplies, and maintain inventory records.
  • Fire Safety: Undertake Fire Marshal training and complete duties in the event of a fire or drill.
  • Data Entry: Input weekly timesheet data to assist with the weekly payroll process.
  • Special Projects: Provide support for special projects or initiatives as assigned by management, which may include research, data analysis, or event coordination.
